Barnard Castle Coaches Ltd Booking Terms & Conditions (updated November 2020):

On a Holiday: You are not permitted to play music on board the coach at any time without the use of headphones. Barnard Castle Coaches reserve the right to refuse a booking or terminate your holiday in the event of conduct which in our opinion is likely to cause annoyance to other passengers, employees and property. If you are prevented from continuing on your holiday, Barnard Castle Coaches responsibility ceases immediately, and will be under no obligation to make any refund or pay compensation to you.

You are responsible for ensuring you are at the correct departure point at the correct time and we cannot be liable for any loss or expense suffered by passengers because of their late arrival.

Where available, hot drinks are available from our courier in cups agreed by our insurer. Passengers agreeing to purchase these do so at their own liability after our courier has safely served them.If you cancel your holiday or day trip: You or any members of your party may cancel your holiday at any time provided that the cancellation is made in writing via our office. In all circumstances we will retain your deposit due to administration costs, and where the balance has been paid, we will retain 60% of the total amount paid. If the cancellation is made within 7 days of your departure date we will retain 100% of any monies paid.

 

If we cancel your holiday: It is necessary for there to be a minimum number of passengers in order to operate a tour. If the minimum number has not been reached or due to Government advice the tour maybe cancelled. In instances where circumstances are beyond our control the tour maybe rearranged for a different date, you will be informed of this and be given the option of travelling on the new date, a full refund or to transfer onto a different tour.

COVID 19: You are required by law (in accordance with Government guidelines) to wear a face mask/covering at all times whilst on the coach. You must provide this – entry to the coach could be refused. Please call to discuss any specific requirements. Once booked, seats will be allocated with social distancing measures in place. Once you are on board you must not leave your seat for any reason other than an emergency. All deposits and balances are secure – if the trip has to be changed or cancelled due to Government guidance you will be given the option of a refund, or to transfer on to a different trip.

 

Holiday Price: Your Holiday price is guaranteed and will not be subject to any surcharges except those resulting from government action including additional bonding, licensing requirements, VAT & fuel. In all of these cases we reserve the right to pass on these amounts in full. Some hotels may make small additional charges for porterage and tea or coffee after dinner.

Passenger Protection:  Barnard Castle Coaches Ltd have in place a Trust Account to ensure any monies paid for a holiday are safe until after the holiday is successfully completed.

Any viable complaints must be made during or immediately after the holiday to Barnard Castle Coaches Ltd, Thorpe Grange Cottage, Greta Bridge, Barnard Castle, Co. Durham DL12 9TZ. Or Sandra Burrell at Salandra House, Newsham, North Yorkshire DL11 7RA.

This is a legal requirement; if you book elsewhere please make sure that they are full bonded for your own protection.

 

Deposit: When you make your booking you must first call the office on the behalf of all your party to the terms stated. Paying a non-returnable deposit of £10 per person for day trips, or £50 per person for trips including an overnight stay. You can call us on 01833 621302 and make a provisional booking which we will hold for 7 days without obligation.

Passport: For all continental holidays you will require a full 10 year British passport, having at least 6 months to run at the date of your return from holiday.

Insurance: We strongly recommend all clients arrange Holiday Travel Insurance. We can advise on travel insurance if required.

Balance: The balance of your holiday must be paid 8 weeks before the departure date. This date will be shown on your deposit receipt. If the balance is not paid on time we reserve the right to cancel your holiday and retain your deposit. If you book within 8 weeks of the departure date, full payment must be paid at the time of booking.

 

Coach Hire Only: Where coach hire is only required, the price will be agreed upon booking. For day tours the balance is due on the departure date, or where agreed within 7 days of the return date. For tours lasting more than 1 day, the balance must be paid 8 weeks prior to departure date.

GDPR: By booking a trip with us you have given your consent to allow us to contact you about this trip and to send you our annual brochure. Only your name, address and telephone number will be held by us as per our insurance requirements for passengers travelling with us. Any payment details are deleted as soon as a transaction has been processed. Your personal data will never be shared with anyone and is stored securely with password encryption.

Coach Hire including Hotels & Activities (Private Parties): Where your party have exclusively hired Barnard Castle Coaches to organise a trip including any hotel or activity bookings we require £50 per person non-refundable deposit payable within 6 weeks of confirmation of itinerary. Final balance to be paid 8 weeks before departure date. Disclaimer: In so as far as it is able to do so Barnard Castle Coaches does not accept any responsibility for injuries suffered whilst on the tour. Barnard Castle Coaches does not accept any responsibility for loss or damage of or to personal possessions. You should make your own insurance arrangements in this regard.
